A 50% deposit is payable upon booking which is non-refundable unless agreed with the management.
A fully refundable deposit of £200 is required if the whole site is hired. As long as the accommodations are left in a clean and tidy condition and there has been no damage, the deposit will be refunded the following day after vacation.
Full payment required a minimum of four weeks prior to arrival.
Cancellations more than one month prior to arrival will be partially refunded, subject to a £25 handling fee and loss of deposit.
Less than one months’ notice will only be refunded if the Pod is re-booked and subject to a £25 handling fee and loss of deposit.
Whilst on site
All rubbish must be placed in the bins provided.
All Barbecues must be held in the allocated barbecue area and charcoal only to be used. No other fuel or accelerant other than charcoal is permitted.
Customers may be charged for damages to the Pods or facilities.
West Stow Pods operates a no smoking policy on the site.
We reserve to right turn-away anyone who has not booked or paid prior to arrival, (unless agreed independently in writing) Furthermore, we may also turn-away anyone who brings a dog without prior notice if a dog-friendly accommodation is not available.
We endeavour to ensure that the two “Dog-Free Pods” are kept that way but we cannot 100% guarantee that, when the whole site is booked, a dog, staying in a “Dog-Friendly Pod” has not entered the Dog-free Pod. We request that any allergy sufferer should contact us first to discuss, as we cannot be held responsible for any adverse reaction. We try our best to avoid contamination and the accommodations are professionally cleaned between visits.
Please bear in mind that the site is situated in woodland and there are lots of trees with pollen!

PLEASE KEEP NOISE TO A MINIMUM AFTER 9 PM OUT OF CONSIDERATION FOR OTHER GUESTS AND THE WILDLIFE;
PLEASE KEEP ALL DOGS ON A LEAD AT ALL TIMES AND CLEAR UP AFTER THEM;
PLEASE DO NOT RUIN THE WOODLAND BY BURNING LOGS OR STRIPPING BRANCHES FROM TREES, THEY WILL CRY;
IF YOU HAVE HIRED THE WHOLE SITE AND HAVE BROUGHT A DOG IN A DOG-FRIENDLY POD, PLEASE DO NOT ALLOW IT INTO THE NON-DOG FRIENDLY PODS;
PLEASE DO NOT ILLUMINATE THE SITE WITH LARGE ELECTRICAL LIGHTS, IT WILL FRIGHTEN THE OWLS;
DURING PERIODS OF DROUGHT, PLEASE TAKE EXTREME CARE WITH BBQS AND PLEASE BE UNDERSTANDING IF WE NEED TO IMPOSE A BAN ON BBQS IN ORDER TO FOLLOW FIRE REGULATIONS FROM THE FIRE BRIGADE. CUSTOMER SAFETY IS PARAMOUNT AT ALL TIMES.
Competitions are only open to people aged 18 or over.
One entry per person per competition.
The prize is for up to two people, subject to availability. Additional guests can be accommodated by arrangement.
The prize is not transferable.
The booking is for a mid-week stay only, unless a voucher is issued, in which case, the voucher may be redeemed at any time in conjunction with further payment.
The prize cannot be used in conjunction with any other offers.
No cash alternative or other prize is available to that stated above.
Each competition runs for the dates stated on that particular competition.
All entries must be received by the time stated on that particular competition.
No responsibility can be accepted for entries that are lost, mislaid, delayed or for any reason not included in the draw.
Each winner will be drawn at random from all the entries entered into that competition, selected under independent supervision and notified via Facebook, Twitter or email. West Stow Pod’s decision is final and no correspondence will be entered into.

Gift Vouchers are sold on the basis that we have a minimum two-night booking and are non-refundable. Prices vary according to the time of year required.
Charity Gift Vouchers
Charity Gift Vouchers are given on the basis that they are used towards a stay and cannot be used as a stand-alone payment unless expressly stated.
The Legal Bit
You are advised to take out adequate travel insurance before your holiday. It is your responsibility to check that you have adequate insurance cover. The insurance should cover, among other things, the cost of cancellation by you, personal losses, all medical costs and the costs of assistance in the event of an accident of illness.
In the event that a provision of these Terms is found to be illegal or unenforceable, the remainder of these Terms will not be affected and the provision in question shall be deemed to be modified to the extent necessary to make it enforceable.
In the event of a delay in acting upon a breach of these Terms by you, that delay will not be regarded as a waiver of the breach. If we waive a breach of these Terms by you, that waiver is limited to the particular breach.
This agreement will be governed by English law and any disputes will be dealt with by the English courts.
