Coronavirus Statement

April 2022

As all Government restrictions have now been lifted, our usual Terms and Conditions will apply to any last minute cancellations. We do strongly advise to take out adequate travel insurance to guard against any last minute cancellations, for any reason. If given enough notice and we can rebook the dates, we will offer to transfer the booking, free of charge.

August 2021

As we are all trying to get back to normal, our usual Terms and Conditions will now apply regarding last minute cancellations due to illness regarding Covid or Track and Trace issues. We strongly recommend that customers take out adequate travel insurance to cover against any such eventuality. If given enough notice and we are able to re let the booking, we will endeavour to transfer your booking, free of charge.

 

July 2021 Governement Guidelines on Social Distancing etc.

Groups of up to 6 or 2 households can book accommodation. All guests must follow the same regulations that they would at home, with regard to social distancing.

Customers should be provided with a contactless check-in system.

Customers should be requested to keep 2m apart from each other in the Car Park.

Request that customers check in with the NHS “Test and Trace” system on a daily basis. The QR code is found in each accommodation.

 

June 2020

We are pleased to confirm that West Stow Pods is as COVID19-Secure as we can reasonably make it. We are:

1. taking a pragmatic approach consistent with health & safety law and coronavirus legislation.
2. observing increased hygiene and cleaning procedures.
3. observing social distancing procedures following government guidance.

Whilst we are doing everything possible to keep guests and our staff safe, it is important to note that we will be expecting ALL our guests to take all necessary measures to observe social distancing and to protect themselves and others at all times. The current Government regulations and advice will apply to all our guests at West Stow Pods. Anyone not adhering to the guidelines will be politely asked to leave.

Please note that Government regulations and guidelines have been changing very quickly in relation to the coronavirus epidemic.  In order to protect our guests and staff, some services or facilities may be reduced or withdrawn altogether, at short notice, dependent on Government guidelines and risk assessments. There will be no reductions or refunds available if this is the case.  If you have any concerns please email us directly at info@weststowpods.co.uk for information.

Specific Changes to your Stay

  • The earliest arrival is 4pm instead of 3pm, to allow for maximum airing and cleaning.
  • If anybody is in the car park when you arrive, please stay in your car and wait for them to unload.
  • Unfortunately, additional visitors are no longer permitted to the site during this time.
  • Please email info@weststowpods.co.uk before your arrival with details of everyone in your party staying at our site.

Track & Trace

In addition to our risk assessment and procedures to ensure our woodland is COVID-19 secure, we also need to work with the Government Track & Trace System. This is essential in helping to minimise and manage virus transmission.  We need to know the names and contact details of everyone who is on the site at any one time and to keep this data for at least 21 days. PLEASE EMAIL WITH THE DETAILS OF EVERYONE STAYING IN YOUR ACCOMMODATION BEFORE ARRIVAL. Your information will be dealt with securely.

The check-in process to aid social distancing:

  • Payment will be required for all bookings prior to arrival
  • Please adhere to our self-check-in policy
  • Please ensure all washing of hands upon entry to the accommodation

Children

Please do not allow children to roam unsupervised around the woodland so that they, albeit inadvertently, break the social distance rule. Ensure that they wash their hands frequently.

Accommodation

Everything inside your accommodation will have been cleaned to the highest possible standards and in accordance with published Government guidelines. All surfaces have been sprayed with disinfectants inline with advice.

When weather permits, windows will be left open to allow maximum ventilation of the accommodation before your arrival, for a minimum of 3 hours as per the E U Directive.

 

We at West Stow Pods may need to enter your accommodation for maintenance issues, and if this were to be the case, we would ask that you step outside whilst we enter your accommodation.

We pride ourselves on our cleanliness and we will continue to uphold the highest standards during this time.

When leaving your accommodation, please leave all windows open (when weather permits), bag all rubbish, and deposit in the main bin on the car park (or by the BBQ for Pod Hollow).
